Situation
A facilities maintenance group planned to replace an aging thermal camera used during electrical rounds. The internal request said only: buy a thermal camera for switchgear. It did not include cabinet geometry, inspection distance, smallest target, load condition, temperature measurement method, or reporting workflow.
What the team clarified
The first task was not to shortlist products. The team mapped the inspection route: asset classes, access positions, normal stand-off distances, protected viewing locations, and the evidence expected in a maintenance report. It separated visual anomaly screening from defensible temperature measurement and recorded where comparable phases or similar components could establish a baseline.
Procurement logic
The RFQ asked each supplier to document target coverage at stated distances, lens field of view, focus behavior, NETD condition, measurement settings, calibration evidence, and report export. For reflective metal, the team required a method note rather than a simple temperature alarm claim. The route workflow also required visible and thermal image pairing, asset ID, action note, and export suitable for work orders.
Decision result
The final comparison rejected a specification that led with maximum temperature range and detector resolution alone. The selected shortlist was the set of proposals that could demonstrate usable target coverage, repeatable focus, parameter retention, and report workflow under the team's actual inspection geometry.
Why this case matters
This is the pattern for a free engineer review: the buyer already has a category and perhaps several quotations, but the actual inspection method needs to become a comparable technical requirement before purchase.
